We take privacy matters seriously and ChapsVision (collectively “ChapsVision CyberGov” in the remainder of this document) is strongly committed to the protection of personal data.

ChapsVision CyberGov undertakes that the collection and processing of the said personal data, carried out from the chapsvision-cybergov.fr website and/or in the context of the use of the solutions of the ChapsVision CyberGov group by customers, will be carried out in accordance with the General Data Protection Regulation (GDPR) and any local laws on the protection of privacy that may be applicable.

This policy provides you with information about how ChapsVision CyberGov treats your personal data.

ChapsVision CyberGov may amend this Privacy Policy from time to time, in particular to take account of legislative and regulatory developments, and any changes in the organisation of ChapsVision CyberGov.

ChapsVision CyberGov advises you to check this page regularly for any changes or updates to our privacy policy. This policy was last updated on 27 October 2023.

In order to protect your privacy and your personal data as effectively as possible, ChapsVision CyberGov has appointed a Data Protection Officer (DPO).  COMMITMENTS OF CHAPSVISION CYBERGOV

ChapsVision CyberGov complies with the applicable regulations for all processing of personal data that it carries out. In particular, ChapsVision CyberGov undertakes to comply with the following principles:

  • ChapsVision CyberGov processes your personal data lawfully, fairly and transparently;
  • ChapsVision CyberGov collects your personal data for specific, explicit and legitimate purposes and will not process them in a way incompatible with those purposes;
  • ChapsVision CyberGov ensures that personal data processed are adequate, relevant and limited to what is necessary for the purposes for which they are processed;
  • ChapsVision CyberGov will process your personal data in such a way as to ensure an appropriate level of security for that data;

The hosting servers on which ChapsVision CyberGov processes data are located exclusively in the European Economic Area. If, for technical reasons, the processing of personal data involves transfers outside the European Economic Area, such transfers will only take place in the presence of an adequacy decision from the European Commission or other legal tools providing you with appropriate safeguards.
  • Data Recipients: Authorised persons within ChapsVision CyberGov and, in some cases, its sub-contractors (our “trusted service providers”), may have access to your personal data. ChapsVision CyberGov ensures that the number of such persons remains as limited as possible and maintains the confidentiality and security of your personal data.
 

ChapsVision CyberGov only provides its trusted service providers with the information they need to provide the service and requires them not to use your personal data for any other purpose. ChapsVision CyberGov always makes its best efforts to ensure that all trusted service providers with which it works maintain the confidentiality and security of your data. ChapsVision CyberGov also ensures that when its relationship with a trusted service provider comes to an end, that service provider deletes your personal data. ChapsVision CyberGov may require its trusted service providers to provide a service which requires the processing of your personal data, for example in the following circumstances:

– maintenance of our equipment/software.

 COMMITMENTS OF CHAPSVISION CYBERGOV AS DATA CONTROLLER

ChapsVision CyberGov, when acting as data controller, is responsible for the personal data you provide.

Each form that you fill in limits the collection of personal data to what is strictly necessary, and describes:

– What the purposes of collecting this data are

– whether this data is mandatory or optional for the management of your request;

– who will be able to read it;

– your “Data Protection” rights and how to exercise them with ChapsVision CyberGov.

The personal information collected through our forms (contact, download of documents, etc.) is intended solely for ChapsVision CyberGov and its trusted service providers where applicable; it will not be communicated externally other than for the sole purpose of management or to meet legal and regulatory obligations.

Personal data collected by ChapsVision CyberGov is processed using secure protocols. ChapsVision CyberGov takes all appropriate measures to protect the confidentiality of your personal data. However, ChapsVision CyberGov cannot guarantee the confidentiality of messages that you may send via an open telecommunications network.

As a group, the personal data collected may be accessible by each entity belonging to ChapsVision CyberGov, in accordance with the GDPR.

The personal data that ChapsVision CyberGov may collect as a data controller under this Privacy Policy may be:

– Identification data, such as your first and last names, your address, your telephone number and your e-mail address;

– Application data if you wish to apply for a job at ChapsVision CyberGov, such as your CV, your qualifications and your professional experience;

– Professional data, such as your qualifications and skills, contact number and professional email address, and job functions, if you are a supplier, service provider or partner of ChapsVision CyberGov.

ChapsVision CyberGov processes personal data for explicit, legitimate and specific purposes. For example, your personal data may be processed for the following purposes:

  • Prospecting new customers, on the legal basis of ChapsVision CyberGov’s legitimate interest in increasing its customer base and targeting new business opportunities;
  • the organisation of, registration for and invitation to ChapsVision CyberGov events on the basis of the legitimate interest pursued by ChapsVision CyberGov in building customer loyalty and offering tailored content;
  • the management of suppliers, partners and customers, in particular to ensure the follow-up of the commercial relationship with the latter, the processing of any complaints and the provision of the services requested), insofar as this processing is necessary for the performance of a contract;
  • compliance with legal obligations, in particular accounting or tax obligations, as such processing is based on ChapsVision CyberGov’s duty to comply with its legal obligations;
  • managing your application if you apply for a position at ChapsVision CyberGov, insofar as this processing is necessary for the performance of a contract or in order to take steps at your request prior to entering into a contract with us, or on our legitimate interest to assess candidates when we carry out vetting procedures.
  • To send you newsletters to which you have subscribed, on the basis of the consent you give to ChapsVision CyberGov to process your personal data for these purposes.

The personal data collected are kept for the time necessary to achieve the purpose for which they were collected :

– Customer relationship management: 5 years from the end of the customer relationship;

– Organisation of, registration for and invitation to ChapsVision CyberGov events: 3 years from the end of the relationship with the data subject if he or she is a customer and 3 years from the last contact if the data subject is a prospect;

– Managing and monitoring contractual relationship: 5 years from the end of the relationship with the customer;

– Debt recovery: until the debt is fully recovered or 5 years from the end of the relationship with the debtor;

– Prevention of money laundering and terrorist financing and the fight against corruption: until such time as the legal or regulatory obligation incumbent on us has been met;

– Invoicing: 10 years from the end of the accounting period concerned;

– Accounting: 10 years from the end of the financial year concerned;

– Management of job applications: 2 years from the last contact with the candidate;

– Sending our newsletter: the duration of the newsletter subscription ;

– Management of relationships with service providers and suppliers: 5 years from the end of the relationship;

– Response to requests sent to us via the site’s contact form: the period required to respond to the request in question.

The ChapsVision CyberGov website contains links to social networks (Facebook, LinkedIn, Twitter). In this respect, ChapsVision CyberGov may collect and use the personal data of members of the social network concerned who have registered as members, friends or followers, in order to contact them on the social network used and/or to send them information. Members of the social network concerned may object to such use at any time by contacting the contact point below.

ChapsVision CyberGov informs you that you have a right of access, rectification, portability, deletion or limitation of the processing of your personal data. You also have the right to object, on legitimate grounds, to the processing of your personal data and may withdraw your consent at any time and without justification when the processing is based on such consent.

You also have the right to define directives specifying what will happen to your personal data after your death (Law for a Digital Republic). All requests will be analysed by ChapsVision CyberGov and must be made in writing, signed by the person making the request, include the address to which the reply should be sent and be accompanied by proof of identity. In case of doubt, ChapsVision CyberGov may ask you for a copy of your identity card signed by you.

If, for any reason, you feel that ChapsVision CyberGov’s response is not satisfactory, you may lodge a complaint with a supervisory authority.

SPECIFIC INFORMATION ABOUT OUR ARTIFICIAL INTELLIGENCE SOLUTIONS FOR VIDEO SURVEILLANCE

ChapsVision CyberGov develops software solutions for its professional customers using artificial intelligence techniques to analyse images and videos in a video surveillance context.

This section provides you with additional information about how ChapsVision CyberGov processes your personal data in connection with the development of these solutions. This section is in addition to the other information in this Privacy Policy, which remains in full force and effect. If there is a conflict between anything in this section and the rest of this Privacy Policy, this section will prevail.

The personal data we collect

ChapsVision CyberGov collects images and video footage of people from several sources:

– Open databases of images of people, such as COCO, Crowd Human and OID. The data of these datasets come from freely accessible sources such as Google Images (OID and CrowdHuman) and Flickr (COCO).

– Data supplied by our professional customers as part of their use of our software solutions, in compliance with the contracts binding us to them.

Legal basis

ChapsVision CyberGov processes your personal data on the basis of its legitimate interest in developing and improving its video surveillance software solutions. To be effective and representative of the real world, these solutions require a large volume of data to be processed.

You may object to the processing of your personal data in accordance with our privacy policy.

Insofar as we are unable to link the use we make of image data to persons precisely identified using your first and last names alone, we may ask you for additional information to enable you to exercise your right to object. For example, we may ask you for a photograph of yourself that you think ChapsVision CyberGov will process. We will then compare it with our database and stop any processing of that photograph should we find such a match.

What we do with your data (purposes)

We collect your data to build and maintain our artificial intelligence systems to identify typical scenarios that may be of interest in a video surveillance setting. For example, we may identify “a man who has fallen to the ground” or “a crowd movement”. Our technologies are not used to identify individual people.

Once we have collected images from the various sources mentioned above, we add descriptions (‘annotations’) to them to enable the algorithms to understand the meaning of the images they see, and to enable them to detect similar situations in real-life use cases when our customers use our solutions.

We do not process sensitive personal data, which would have the effect, for example, of processing the personal data of people based on their skin colour. No annotation is made concerning the identity, gender, age or ethnicity of the people in the images.

We also minimise the data we collect and process wherever possible. We sort through the images collected to retain only the image data relevant to the situations we wish to study.

The personal data we collect is not shared with third parties, except to other companies as part of a restructuring of our company, such as a merger or transfer of assets.

Duration

ChapsVision CyberGov processes your personal data for as long as is necessary to achieve the aforementioned purposes, while respecting the principle of data minimisation.

For any new personal data collected, we store this data on secure servers accessible only to our authorised engineers in commonly used databases for as long as is necessary for the creation and training phase of our algorithmic models. During this phase, we collect the data, select subsets of images relevant to our AI software solutions and annotate them.

Data that is of no interest from the point of view of the aforementioned purposes is deleted within two months of collection. The remaining data is stored in a separate,

secure database to enable us to maintain and improve our AI software solutions in the future. Images in this database that are no longer used within 5 years are deleted.

 COMMITMENTS OF CHAPSVISION CYBERGOV AS SUBCONTRACTOR

ChapsVision CyberGov, in its capacity as a software company, offers its customers several services in On Premise or SAAS mode through which said customers collect, analyse, share or process your personal data by means of our solutions and services.

In the context of the use of the solutions, ChapsVision CyberGov may act on the instructions of the customer as a subcontractor, on the basis of the contract signed between ChapsVision CyberGov and its customer, in the context of a B to B commercial relationship. ChapsVision CyberGov’s clients are responsible for processing your personal data.

When using ChapsVision CyberGov solutions, ChapsVision CyberGov’s customers may ask us to process your personal data for the following purposes:

  • Market Intelligence: strategic, technological and regulatory intelligence.
  • Speech to Text: speech-to-text transcription and voice commands.
  • Argonos data exploitation system: collect, enrich and explore a set of data.
  • Judicial interception: monitoring, collection and processing of judicial and administrative interception data.

The following personal data may be collected for these purposes:

  • Market Intelligence: surname, first name, email address, photograph
  • Speech to Text: surname, first name, email address, telephone number
  • Argonos data processing system: all personal data held by data controllers.
  • Judicial interception: all personal data held by data controllers.

The processing operations entrusted to ChapsVision CyberGov by the data controller may be as follows: collection, hosting, storage, maintenance, support, recording, access, communication by transmission, erasure and destruction.

The data collected is processed by ChapsVision CyberGov in the European Economic Area, or in countries offering an adequate level of protection, or where appropriate safeguards have been put in place, and is secure.
